Setup - My Company - Users - New Item

This page is used to define a user name for accessing the system.

After defining the user name in the General Details expander, permits are assigned to the user name (according to the employee's tasks) using one or more of the following expanders:

Branch Permits

Click Save after updating any permit in the following expanders.

To create a new user

  1. Go to Setup - My Company - Users.

  2. Click Click here to add a new user.

    The fields in the General Details expander will be displayed.

  3. Mandatory. In the User Name field, enter the user name for logging into the system.

    To deactivate a user, select User Not Active.

    Use this action with caution as an inactive user name cannot be reactivated.

  4. Mandatory. In the Password field, enter the user's password.

  5. Click here for more information on passwords.

  6. In the UI Language field, select the language in which the Reservation System will be displayed to the user from the drop-down list.

  7. If relevant, in the Branch field, select the branch to associate with the user name from the drop-down list.

  8. When a user is associated with a branch, s/he will be subject to the definitions of the specific branch when using the system.

  9. In the E-Mail field, enter the e-mail address from which e-mail correspondence will be sent when the option Send e-mail from user's e-mail address in Setup - Website Definitions - E-Mail Notification is marked.

  10. In the User Type field - if relevant - select the user type to associate with the user name from the drop-down list.

  11. In the User Identifier,enter the user's identifier in the external system. This field can be used to match users between Travel Booster and the external system.

  12. In the Find travel file by field, select the page to be displayed in the Reservations System when clicking on the Find Travel File button.

  13. In the Default reservation source select the default reservation source to be selected in the Reservations System, in the Find by PNR page.

  14. If the user is a freelancer, select Freelancer.

  15. If the user requires access to Administration Tools, select Access to Administration Tools.

  16. If this option is not selected, the user will have access only to the Reservation System.
  17. To display the dashboard upon accessing the Reservations System, select Display dashboard as default page in Reservation System. By default, this option is selected for all new users created in a retail systems.

  18. To display the service amount in the travel file after the transaction reduction/ commission has been deducted, select Display the Amount - Reduction in travel files service section.

This will be displayed as follows in the Travel File Service Section:

  1. To map between the user's PCC and user identifier in a GDS and their user name in the system, in the GDS Mapping table, click Click here to add a new mapping.

  2. Click here for more information on GDS mapping.

    1. In the GDS name column, select the GDS: Sabre or Amadeus.

    2. In the User identifier column, enter the user's user identifier in the GDS.

    3. Click here for more information on user identifiers.

    4. Sabre. In the User name in GDS column, enter the user's user name in Sabre, which is used for updating the user's credentials in Sabre

    5. In the PCC column, enter the user's PCC.

    6. Click here for more information on PCCs.

  1. Click Save.

Branch Permits

  1. Select the user's branch permits.

    If users are limited to performing activity only for their own branch, do not select any of these permits.

    If users are allowed access to all branches, select the permits, but do not select enabled, or specify branches.

    If users are allowed to perform actions for specific branches, in addition to the users' branch, select the permits, select enabled, and specify to which branches the permits apply.

    Permit Name

    Description

    Access travel files attached to and perform operations for all or selected branches

    • Permits the user to access the travel files of all branches, or the branches specified.

    • In the Reservations System:

      • Only travel files attached to the branches specified in this permit can be searched for and accessed.

      • If the user does not have this permit, in the List of Travel Files page, the Branch field is initialized with the user's branch and is disabled.

      • Permits the user to view documents issued by all branches or the branches specified.

      • Permits the user to select all travel agents/corporate clients, or travel agents/corporate clients and passengers attached to the branches specified. If the user does not have this permit, the user can only select travel agents/corporate clients attached to their branch, or to no branch at all.

    • In the Administration Tools:

      • In the User/Freelancer Incentive module, you can only view incentives for the branches specified, and create or view incentives for travel agent/corporate client accounts served by all branches, or attached to the branches specified.

      • In the Bank Accounts module, you can only view or create bank accounts not attached to any branch, or attached to the branches specified.

      • In the Queues module, you can only view or create queues not attached to any branch, or attached to the branches specified.

      • In the Travel Agent/Corporate Client Account modules, Permits the user to create or access accounts served by all branches, or the branches specified.

    • Users are still required to have the individual permit to access each individual module.

    Perform accounting actions for all or selected branches
    • In the Supplier Reconciliation, Travel Agent/Corporate Client Reconciliation, and Export Data to General Ledger modules, Permits the user to select all branches or the branches specified.

    • In the Travel Agent/Corporate Client Reconciliation module, Permits the user to search for all travel agents/corporate clients, or only the travel agents/corporate clients included in this permit.  If the user does not have this permit, the user can only search for travel agents/corporate clients attached to their branch or to no branch. The user can only attach the travel agent/corporate client account to their branch, or one of the branches specified.

    • In the Supplier Reconciliation, users can search for documents issued by all branches regardless of any branches specified in this permit.

    • Users are still required to have the individual permit to access each financial module.

    • Most documents issued in the Administration Tools are associated with the user who issued the document.

      • In the Supplier Reconciliation module if you filter the search results on a specific branch, any documents issued are associated with that branch. Otherwise, they are associated with branch of the user who issued the documents.

    Generate reports for all or selected branches

    Permits the user to issue reports and send periodic statements for all branches, or the branches specified.

    This permit applies to the following reports:

    Perform actions for all or selected branches in Cashier and Transfer Book modules.

    In the Cashier and Transfer Book modules, Permits the user to perform actions on all branches, or the branches specified.

    The permit Perform actions in Cashier module must also be selected.

  2. To specify which branches these permits apply to, select enabled, and select the relevant branches.

    If you do not select enabled, the permits apply to all branches.

  3. Click Save.

Remove leg transactions from invoice

Permits the user to remove individual legs from a transaction in the invoice.

Allow change payment terms

Issue a receipt without sending a request to a payment gateway

This permit allows users to issue transfer receipts for credit card payments without sending a request to a payment gateway.

Used by companies who send requests to payment gateways externally, but need to issue a receipt in the travel file.

Exchange Rate

Permits the user to edit currency exchange rate.

Override maximum change rate

Permits the user to edit currency exchange rate regardless of the maximum percentage defined in Maximum change rate.

Permits the user to view:

  • In the Accounting tab of the transaction -

    • The net price

    • The supplier price

    • VAT on markup

  • In the Documents tab of the transaction -

    • Voucher amounts

    • Tax invoice amounts

  • In the travel file -

    • Voucher amounts

    • Transaction tax invoice amounts

    • View Profit (in the Accounting section)

Edit net price of transaction

Permits the user to perform the following actions in the transaction:

  • Edit the net price

  • Edit the supplier price

  • Edit the VAT on markup

  • Change the rates

  • Change the markup

Edit selling price of transaction

Permits the user to edit the selling price of a transaction.

Please note: When this option is selected, and the previous two options are not, in the reservations system, in the accounting tab in a transaction, the markup field is greyed out, but the Change M/U link is active.

Access general info

Permits the user to access the General Info page in travel files.

Allow to unite passengers

Permits the user to unite identical passengers in the Reservation System in order to avoid redundancy.

Create travel file for travel agent/corporate client with exceeded credit limit

Permits the user to create a travel file for a travel agent/corporate client who has exceeded the credit limit defined in the travel agent/corporate client account and to issue a credit invoice for the travel file.

Issue voucher for reservation when no payment received

Permits the user to issue a voucher for a reservation when no payment has yet been received.

Edit option date of travel file

Permits the user to edit the option date of a travel file.

Edit travel file status

Permits the user to edit the status of a travel file.

Close travel file

Permits the user to close a travel file and issue a general reduction for the travel file.

Re-open closed travel file

Permits the user to re-open a closed travel file.

Increase commission/reduction defined in the Commission/Reduction Definitions module

Permits the user to increase the commission defined for an agent in the Commission/Reduction Definitions module. The ability to increase the commission applies to both a transaction and an invoice.

Edit  automatic transaction fees

Permits the user to edit, delete and issue tax invoices for automatic transaction fees in the travel file.

When deleting a transaction fee with a tax invoice, the tax invoice is automatically deleted, regardless of whether the user has the permit Cancel Tax Invoice.

Create and edit manual transaction fees

Permits the user to add, edit, delete and issue transaction fees for manual transaction fees in the travel file.

When deleting a transaction fee with a tax invoice, the tax invoice is automatically deleted, regardless of whether the user has the permit Cancel Tax Invoice.

Override minimum night allocation restriction

Permits the user to create a hotel travel file with OK status for hotel (based on allocation) whose defined Minimum nights stay in the Edit Allocations window of the contract is more than the number of nights in the hotel query.

Allow to remove travel file from queue

Permits the user to remove a travel file from a queue accessible to all users in the company.

Regardless of this permit:

  • A user can always remove travel files from his/her queue.

  • A user cannot remove travel files from a queue belonging to another user.

Change travel file currency

Permits the user to change the travel file currency of a manual travel file prior to adding a service to the travel file.

Once a service has been added (either from a price list or manually), the travel file currency can no longer be changed.

Use other payment method

Allows the user to select the Use Other Payment Method option in the booking details page. This option is used to defer payment until after travel file is created allowing payment to be collected through other means, such as cash, or check.

This is in addition to the option in Website Definitions - B2E - Login Type - Employee called Allow different payment method, which also needs to be selected to enable the Use Other Payment Method field to be displayed.

Create and edit group travel file

Permits the user to create and edit a group travel file.

View travel agent/corporate client balance

Permits the user to view the travel agent/corporate client account balance in the travel file (when accessing the Account Profile page by clicking the link in the travel agent/corporate client's name in the travel file header).

Change type of group travel files

Permits the user to change the type of group travel files

Display price package button in travel file

Permits the user to use the Use Package Rate button in Hotel, Attractions and Transfer Queries. When this permit is not marked, the button will not be shown in the query.

 

Permits the user to use the Price Package button in travel file, when the other conditions for this button are also in effect. When this permit is not marked, the button will not be shown in travel file.

Create travel file only after PNR is ticketed in GDS.

This permit is applicable only if you are working with the Sabre ENS or Amadeus Queues.

If this permit is selected, when importing PNRs into the system, only ticketed PNRs will create new travel files or update existing travel files attached to the user.

Ticketed PNRs are PNRs in which there is a: ticketed flight, ticketed EMD, hotel reservation, or car rental reservation. Travel files will not be created from PNRs with both a hotel or car rental reservation and an unticketed flight.

Allow to delete cancellation fee transaction

Permits the user to delete cancellation fee general transactions in the travel file.

Allow to overbook flights

Permits the user to overbook seat control flights. If this permit is selected, the user will see flight classes that no longer have an availability. This will enable the user to finalize the booking resulting in the flight class changing into a negative availability. The nesting logic applies as well so if a cheaper class of travel has entered into negative availability, a lower number of seats will appear in the more expensive class.

Allow to delete customer's information (forget me)

Permits the user to delete all customer information from the database, including his name.

Allow to reserve a flight for past date

Permits the user to perform flight queries for dates earlier than today (the date range is restricted to a maximum of 7 days), and add the flights either into an existing or new travel file.

NOTE: This option is only available for seat control flights (flights originating from the self-operation flight module).

Go Global Definitions

This expander is only displayed if the Go Global interface is activated for the B2E configuration.

Go Global has an incentive program called Piggy Points. Piggy Points are awarded for B2E reservations made by the travel company. These points can be used by the user to make private reservations.

Depending on the travel company's policy, points are either awarded individually to the user, or divided equally among all company employees.

For more information on this program, contact Go Global.

In the Go Global Definitions expander, enter the user name and password which will be sent by the system to Go Global for all reservations made in the B2E Reservations System using the interface. These credentials will be used by Go Global to authenticate the user, and add the earned Piggy Points to their account.

Airtour Definitions

This expander is only displayed if the Airtour interface is activated for the B2E configuration.

Airtour has a points based incentive program. Points are awarded for B2E reservations made by the travel company. These points can be used by the user to make private reservations.

Depending on the travel company's policy, points are either awarded individually to the user, or divided equally among all company employees.

In the Airtour Definitions expander, enter the clerk code which will be sent by the system to Airtour for all reservations made in the B2E Reservations System using the interface. These credentials will be used by Airtour to authenticate the user, and add the earned points to their account.
