An allocation is a quantity of units (for example, hotel rooms, cruise cabins, activity tickets) given to the travel company by the supplier to sell to customers. When a contract has an allocation, the service is displayed with OK status in the Reservation System search results.

An allocation agreement with a supplier includes the following:

  1. A quantity of units allocated to your company (per night, per day, per service period).

  2. The method by which reservations are reported to the supplier, which can be defined in this tab (hotel and cruise only), or done through various automatic or manual processes offered by the system.

  3. The terms according to which the unsold units in the allocation are released (returned back) to the supplier.

There are no release terms for activity allocations. If the supplier requires you for any reason to return allocations, you will need to define that the activity is sold on request from a date you specify.

With hotel contracts, the allocation can also be sub-allocated to travel agents who you work with on a B2B basis, allowing the travel agents booking the service to receive immediate confirmation for the reservation.

With cruises, allocations are mandatory. Even if you do not have an allocation, you need to define zero cabins in the Allocation tab to be able to sell the cruise in the Reservations System.

With hotels and cruises, allocations can be defined for an entire price list, a specific price level, or a specific type of price component. With activities, allocations can only be defined for price levels

The Allocation tab allows you to manage the allocations and sub-allocations in the contract.

In the Calendar expander (hotels, cruises and packages), you can view a calendar that displays the number of units in each day that are allocated, available, or taken (including agent sub-allocations). The view can be changed to allow you to view a period of one month, six months or a year. If the contract has zero allocations, in the Reservations System, the service is displayed with the Request status.

Hovering over a specific date, displays information on the units allocated on that date, such as how many are allocated, how many are available, how many are taken, and release term information.

You can define in this tab whether the allocations for the individual contract are released automatically (by selecting the Automatic Release option when creating the allocation definition) or you can manage the release of allocations manually through the Release Allocations module, or automatically through the Schedule Automatic Process module.
