Business Rules - Cancellation Fee Policy - New Item

This page is used to define a new cancellation fee rule. See Cancellation Fee Logic for detailed information on cancellation fees.

A cancellation fee rule is composed of two entities:

  1. Parameters: the reservation criteria for applying the cancellation fee

  2. Cancellation Fee: the percentage or absolute amount to be paid as a cancellation fee according to the time interval in which the reservation is cancelled

To define a new cancellation fee rule

  1. Go to Business RulesCancellation Fee Policy.

  2. Set up the cancellation fee policy module as described in Business Rules - Cancellation Fee Policy.

  3. Select the Cancellation Fee Policy tab.

  4. Click New Item.

    The New item page is displayed.

  5. Define the parameters of the cancellation fee rule:

    1. In the Service Type field, from the drop-down list, select the service type applicable to the cancellation fee rule. This is a mandatory field.

      Service Provider

      Select the supplier actually providing the service from the drop-down list.

      Only suppliers of the service type selected will be displayed.

      Supplier Paid

      Select the supplier to be paid for the service from the drop-down list.

      Only suppliers of the service type selected will be displayed.

      Price Level/Category

      From the drop-down list, select the price level or category* associated with the service type.

      *Only for the service types: ferry, flight, train, transport

      Services Dates

      Enter the periods in which the cancellation fee will be applied.

      Origin - Destination

      Flights only.

      Define the origin and destination pair the rule applies to. These can be a Country Region, or City.

      More specific conditions override more general conditions - city, region and then country.
      Each pair is relevant for one way flights and a leg in a roundtrip flight. For all legs in a round trip flight, additional pairs need to be defined.

      Min nights - Max nights

      Hotels only.

      Define the minimum and maximum number of nights in the transaction for this rule to be applied.

      This parameter is not validated. Therefore if there are multiple rules with overlapping numbers of nights, the system will arbitrarily apply the first rule it discovers.

      Min rooms - Max Rooms

      Hotels only.

      Define the minimum and maximum number of rooms in the transaction for this rule to be applied.

      This parameter is not validated. Therefore if there are multiple rules with overlapping numbers of rooms, the system will arbitrarily apply the first rule it discovers.

  6. Define the cancellation fee for each time interval (beginning with the period furthest from the reservation start date):

    1. In the Value field, enter a value to correspond with the following field, Definition.

    2. For example: If you would like to charge 10 percent of the reservation amount as the cancellation fee, enter the number 10 in the Value field and select Percent from the Definition drop-down list.

      If the cancellation fee is higher than 100%, in the reservation system search results, it will appear as non-refundable, but the amount defined in the business rule will be used in the travel file.

    3. In the Definition field, select one of the following values from the drop-down list:

      Amount

      Indicates a fixed amount.

      Select the Per Person check box to apply this amount to each passenger in the reservation.

      Day or Night

      Indicates the price of one reservation day or night. This amount will be multiplied by the actual number of reservation days or nights.

      Percent

      Indicates a percentage of the total reservation amount.

      The cancellation fee is always calculated from the supplier price of the transaction

    5. In the Cancellation Period field, enter a value to correspond with the following field, Unit.

    6. For example: If you would like the cancellation fee to be effective one month prior to the service start date, enter the number 1 in the Cancellation Period field and select Month from the Unit drop-down list.

    7. In the Unit field, select a unit of time from the drop-down list.

    8. Define up to three additional cancellation fees in the remaining time intervals.

  7. Click Save.
