Editing the amounts of a transaction fee rule

This topic explains how to edit the amounts of a transaction fee rule, and is also included in the process of creating a new transaction fee rule.

If you are in the process of creating a new transaction fee rule, skip to step 3.

  1. Search for the transaction fee rule that you want to edit.

  2. Click the Edit icon in the row of the transaction fee rule you want to edit.

    The transaction fee rule is displayed.

  3. In the Currency section, select the currency of the transaction fee from the drop-down list.

  4. In the Value section, In the Definition field, select whether the transaction fee is a fixed amount or a percentage of the price of the service.

  5. In the Value field, enter the amount or percentage of the transaction fee.

    Note that the following transaction fees can be defined only as absolute amounts:

    • Open new individual travel file

    • Postage and mail delivery

    • Issue report

    • B2E call

    • Miscellaneous

  6. If you selected Amount:

    1. If you want the transaction fee to be applied to each passenger in the travel file, select Per Person.

      Note that the Per Person option is only available for the following transaction fee events:

      • Open new individual travel file

      • Add service

      • Cancel service

      • Amend service

      • Ticketing

      With Open a new individual travel file, the amounts defined are multiplied by the number of passengers in the travel file. Each time new passengers are added to the travel file, either manually or through an automatic process (for example, importing an updated PNR), a new transaction fee is created for the new passengers.

      For all other transaction fee events, the amount is multiplied by the number of passengers in the transaction.

    2. If VAT needs to be applied to the income earned from the transaction fee, select one of the following options:

      • Add VAT to transaction fee: The VAT is added on top of the transaction fee.

      • Click here for a detailed example.

      • Include VAT in transaction fee: The VAT is included in the transaction fee.

      • Click here for a detailed example.

      • Include VAT according to VAT table with countries: This option is only displayed for Open new travel file transaction fees and is only relevant if you are working with the VAT table with countries.  If the travel file contains transactions for which VAT is collected, the default VAT is included in the transaction fee. Otherwise, no VAT is applied to the transaction fee.

      • If the VAT percentage needs to be calculated according to the specific service, select VAT percentage is calculated according to specific service.

      • Note this option is only enabled if you are using a VAT table (either with countries or without countries).

      • In the Minimum and Maximum Fee section, in the Maximum Fee field, enter the maximum transaction fee amount that can be charged, regardless of the number of people it applies to.

  7. If you selected Percent:

    1. If VAT needs to be applied to the income earned from the transaction fee, select Apply VAT.

    2. If the transaction fee percentage calculation is also based on the tax component, select Applies also to tax. This option is enabled only if the transaction fee pertains to a service.

    3. In the Minimum and Maximum Fee section, enter the minimum and maximum transaction fee amounts that can be charged, regardless of the percentage amount.

  8. In the Supplement For After Hours section, enter the amount that will be added to the transaction fee, if the action that triggers the transaction fee event is triggered outside of your company's working hours.

    The supplement also applies to transaction fee rules that are also for the B2B and B2C selling channels.

    1. In the Definition field, select whether the supplement is a fixed amount or a percentage of the transaction fee.

    2. In the Value field, enter the amount or percentage of the transaction fee.

  9. Click Save and Exit.
