Setup - Product Definitions - Hotels - New Item

This page is used to create a record for a hotel sold in the system. The details entered in this page (text and images) are displayed in the hotel result in the Reservation System.

Each hotel record includes detailed information regarding the hotel, entered into the following four expanders:

1. General: this expander contains the hotel's main details.

2. Hotel facilities and description: this expander contains a general description of the hotel and details regarding the hotel's facilities.

3. Price Level facilities and description: this expander contains descriptions of each price level (room) in the hotel and details regarding the facilities in each price level (room).

4. Description File / Pictures: this expander is used to upload HTML and image files that will be displayed with the hotel result in the Reservation System.

1. General

To define the main details of the hotel

1. Go to Setup - Product Definitions - Hotel Details.

2. Click Click here to add a new Hotel.

   The fields in the General expander are displayed.

3. In the Name field, enter the hotel name. This is a mandatory field.

4. Define the product information for the hotel:

   1. In the Destination field, select the hotel destination from the drop-down list. This is a mandatory field.

      A new destination can be added by clicking <Add New Destination...> at the end of the drop-down list.

   2. In the Location field, select the hotel location from the drop-down list.

      A new location can be added by clicking <Add New Location...> at the end of the drop-down list.

   3. In the Category field, select the hotel category from the drop-down list. This is a mandatory field.

   4. If you want to display in the Reservations System, customized hotel categories (defined in Setup - Website Definitions - Content - Services - Hotel), select Display customized hotel categories.

   5. In the E-Mail field, enter the hotel's general e-mail address.

5. Define the location to be associated with the hotel (for transfer purposes):

   • In the Transport Location field, select the location from the drop-down list associated with the hotel for transfer purposes.

6. Define the hotel's contact information:

   1. In the Address field, enter the hotel's street address.

   2. In the City field, enter the city in which the hotel is located.

   3. In the Province/State field - if relevant - enter the province or state in which the hotel is located.

   4. In the Country field, select the country in which the hotel is located.

   5. In the Postal Code field, enter the postal/zip code for the above address.

   6. In the Latitude field, enter the latitude coordinates for the hotel address. These coordinates are used to display the hotel in map view.

   7. In the Longitude field, enter the longitude coordinates for the hotel address. These coordinates are used to display the hotel in map view.

   8. In the Phones field, enter the phone/fax numbers belonging to the hotel.

   9. Click Save.

   10. Continue to the additional expanders on the page.

2. Hotel facilities and description

To define the hotel facilities

1. Open the Hotel facilities and description expander.

2. In the Number of Rooms field, enter the total number of rooms in the hotel.

3. In the Information field, enter a description of the hotel.

4. Define the hotel facilities:

   • In the Not Selected list, click the arrow by a facility to include it in the Selected list.

   • If required, click Add new Facility to add a new facility to the list. Ensure that the new facility is defined as type Hotel facility.

5. Click Save.

3. Price Level facilities and description

To define facilities for a specific price level (room)

1. Open the Price Level facilities and description expander.

2. In the Price Level field, select the relevant price level. This is a mandatory field.

3. In the Information field, enter a description of the price level.

4. Define the price level facilities:

   • In the Not Selected list, click the arrow by a facility to include it in the Selected list.

   • If required, click Add new facility to add a new facility to the list. Ensure that the new facility is defined as type Room facility.

5. Click Save.

6. To define additional price levels, click Add price level and repeat steps 2 - 5.

   To delete an existing price level, click Delete price level.

4. Description File / Pictures

To upload an HTML file containing the hotel's description.

This description is displayed in the Information tab of the hotel result in the Reservation System.

1. Open the Description File / Pictures expander.

2. In the Description section, click Upload.

   Only the following file types can be uploaded: HTML an archived directory (with extension .zip) containing both HTML and associated files (image, flash, etc.). Ensure that all associated files are on the same level (not in sub-directories) and that all URLs in the HTML source are relative.

3. Click Browse...

4. Select the file or archived directory.

5. Click OK.

6. If required, click Edit to edit the uploaded file.

   Refer to the CKEditor User's Guide at http://docs.cksource.com/FCKeditor_2.x/Users_Guide for instructions on how to use the text editor's functions.

7. Click Save.

   To delete an existing file, click Remove.

To upload images of the hotel

These images are displayed in the Photos tab of the hotel result in the Reservation System.

1. Open the Description File/Pictures expander.

2. In the Pictures section, click Add new picture.

   Only the following file types can be uploaded: BMP GIF JPEG JPG PNG The maximum image size is 550 pixels wide by 335 pixels high.

3. Click Browse...

4. Select the image file.

5. Click Upload.

6. In the Title field, enter the title that will appear:

   1. Above the image when it is displayed in the Photos tab of the hotel result.

   2. When hovering over the image in the Photos tab of the hotel result.

7. Click Save.

8. To upload additional images, click repeat steps 2 - 7.

9. Select the radio button by the image designated as the thumbnail image of the hotel (the main image displayed in the hotel result).

10. Click Save.
