Travel Files - Transaction Fee Section

The Transaction Fee section displays all the transaction fees that have been issued in the travel file.

Transaction Fees are fees that the travel company charges for services offered to customers. The system allows you to create in the Administration Tools business rules for adding transaction fees to a travel file according to parameters that you define.

The mechanism is flexible:  you can define that a single fee is charged for each travel file that is created, or decide to charge smaller amounts for each action performed in the travel file, such as reserving a service, ticketing, changing a reservation, cancelling a service, reissuing a voucher/ticket - and you have the option of charging extra for 24/7 service.

There are two types of transaction fees: Automatic and Manual. Automatic transaction fees are automatically added to the travel file after specific actions are performed, such as reserving, modifying ticketing, or cancelling a service. Manual transaction fees are added manually by the user, such as issuing a report. You can also define up the names for up to 6 miscellaneous Manual transaction fee events.

When creating the transaction fee rules, you can define whether the transaction fee is a percentage of the transaction or a fixed amount, you can also choose to apply VAT, and charge additional amounts for services performed after office hours, or on days when the branch is closed.

In the travel file, transaction fees are displayed in the Transaction Fee section. After a transaction fee is created, a tax invoice needs to be issued. You can define that the tax invoice be issued automatically when the transaction fee is created or when the invoice is issued. You can also allow users to issue the tax invoice manually.

With travel agents and corporate clients, you can define that a separate invoice be issued for transaction fees.

The following information can be entered in the Transaction Fee section.

New

Click this button to add a new Manual transaction fee to the travel file.

A Transaction Fee – New pop-up appears in which you can enter the transaction fee information: Event, Description, Value and Currency.

After selecting the event, if there is a transaction fee rule, the remaining fields are initialized according to the rule’s definitions. Otherwise, these fields remain empty.

This requires the permit Edit transaction fee item.

The issue date of the transaction fee

Time

The issue time of the transaction fee

Description

The transaction fee description.

Transaction fee descriptions are defined in a separate Transaction Fee Description module, and added to the transaction fee rule.

The description can be edited.

If a supplement for after hours amount is applied, the breakdown is displayed in the transaction fee description.

Status

The status of the transaction fee - whether the amount is Fully included in the invoice or Partially included in the invoice.

Amount

The transaction fee amount.

Tax Invoice

If a tax invoice has been issued, a link to the document appears in this column.

Edit button ()

Click this button to edit the transaction fee.

You cannot edit a transaction fee after a tax invoice has been issued.
This requires the permit Edit transaction fee item.

Actions button ()

Delete

Select this option to delete the transaction fee.

You cannot delete the transaction fee after an invoice has been issued.
This requires the permit Edit transaction fee item

Issue Tax Invoice

Select this option to manually issue a tax invoice for the transaction fee.
