Travel Files

When a customer plans a trip through a travel company, the company creates a travel file for the customer. The travel file contains all the information relating to this trip, including passenger information, the services reserved for the customer, financial information relating to those services, communications with the customer, and profit earned from the trip.

Travel files can be created for direct sales which are managed on a cash basis (although payment can be deferred or divided into installments) or for travel agents and corporate clients who receive a credit limit. You also have the option of combining the two options and allowing a direct sale to bill a corporate client account for some or all of the services in the travel file.

Travel files are used to monitor and control all aspects of the trip lifecycle allowing the travel company to gather information on the customer, corporate client and travel agent, supplier, and the user who handled the travel file. This information allows the company to build profiles which can be used towards directing sales and maximizing efficiency in order to increase the profit earned from each trip.

There are several types of travel files. Each selling channel (B2E, B2B, and B2C) has its own unique travel file with a different interface and capabilities. There are also different travel files for individual passengers, groups, quotes and proposals.

The travel file is divided into a header and five sections.

The travel file header contains information and buttons relating to the entire travel file.

Each section includes a header and a table. The header includes information, buttons and fields relating to that section. Each row in the table contains a single item with the information divided into columns. At the end of each row there is Actions () button, and sometimes an Edit () button, that allow you to perform actions on that row.
