Adding services to the itinerary of a regular self-operation tour based on allocations

This topic explains how to add service to the itinerary of a regular self-operation tour based on allocations.

If any of the hotel price levels are marked as No Sale in the contract, in the Reservations System, in the Tour Details the price level will also be marked as No Sale, and the Book button will be disabled.

 

If you are in the process of creating a new self operation tour, skip to step 3.

  1. Search for the self operation tour you want to edit.

  2. Click the Edit icon in the row of the self-operation tour.

    The Itinerary tab of the self operation tour is displayed.

  3. In the Itinerary expander, in the row with the first date, in the row of the first tour class, click Choose Hotel.

  4. An Add Hotel pop-up appears.

  5. Search for the hotels you want to add using the following search criteria:

    Destination

    Select an destination

    Supplier

    Select a supplier

    Name

    Enter the name of the contract

    Price Level

    Select a price level

    Category

    Select a category

  7. Click Find.

  8. The price lists that match your search parameters are displayed.

  9. Click next to the price levels that you want to add

  10. Enter the hotel dates, and other relevant information.

  11. For each hotel you want to add, click Done.

  12. Click Close.

  13. The hotels are added to the itinerary on the dates you defined.

    The hotels are added to the itinerary on the relevant dates.

  14. Repeat steps 3-9 for each hotel that needs to be added to the itinerary.

  15. To add other services to the tour itinerary:

    1. in the row of the date to which you want to add a service click  and select Add service from price list.

    2. An Add Service pop-up appears.

    3. Search for the service you want to add using the following search criteria:

      Description

      Product type

      Select a service type

      Destination

      Select an destination

      Supplier

      Select a supplier

      Name

      Enter the name of the contract

      Price Level

      Select a price level

      Category

      Select a category

    5. Click Find.

    6. The price lists that match your search parameters are displayed.

    7. Click next to the price list that you want to add

    8. Enter the service dates, and other relevant information.

    9. Click Done.

    10. The service is added to the tour itinerary.

    11. Repeat this step for each service you want to add to the itinerary.

  16. Click Save.

In the Reservations System, when booking the tour:

  1. After allocations are used up for the first hotel in a tour price level, the system will book rooms using the allocations of the next hotel. After the allocations for the second hotel are used up, the system will book rooms using the allocations of the third hotel, until allocations for all hotels are used up.

  2. The system will check allocations according to the number of rooms entered in the query. For example if the user is searching for two rooms, and there is one allocation in the first hotel and four allocations in the second hotel, the system will book the second hotel.
